CareerFinders, on behalf of our client, a rapidly expanding Investment Firm with offices across Cyprus, we are seeking to recruit a Personal Assistant to the CEO to join their growing team based in Limassol. The successful applicant will support the CEO from an administrative perspective, including diary management, travel coordination as well as screening phone calls, enquiries and requests. You will need to possess proven experience within a similar role supporting Senior Management and possess outstanding organisational and administrative skills. Fluency in both verbal and written English is essential for this position. The role of a Personal Assistant to the CEO may require occasional overtime and flexibility in working hours to accommodate the CEO's needs. 

Key Duties/Responsibilities: 

  • Maintain and organize the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact between the CEO and internal/external contacts, ensuring effective communication for everyone involved.
  • Handle phone calls, emails, and correspondence on behalf of the CEO, ensuring prompt responses and appropriate filtering of information.
  • Arrange complex travel itineraries, including flights, accommodations, and transportation.
  • Prepare travel packs with essential documents and information.
  • Prepare reports, presentations, and documents for meetings, ensuring accuracy and confidentiality.
  • Assist in organizing and coordinating meetings, including logistics, agendas, and follow-up actions.
  • Attend meetings with the CEO, take minutes, and distribute them as required.
  • Support the CEO in various projects, research, and special assignments.
  • Ensure timely completion of tasks and project-related deadlines.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.

Key Skills/Experience: 

  • Bachelor's degree or equivalent work experience.
  • Proven experience as an Executive Assistant or Personal Assistant to Senior Management.
  • Excellent command of the English language both verbal and written (native or fluent English speaker).
  • Excellent written and verbal communication skills.
  • Proficiency in office software and tools, including Microsoft Office.
  • Exceptional organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to multitask and prioritize effectively.
  • Discretion and trustworthiness in dealing with confidential information.
  • Flexibility and adaptability in a fast-paced environment.
