The Client:
Our client is a private Family Office, with their offices in Nicosia. On behalf of our client, we are currently seeking to recruit a Personal Assistant to their CEO.

The Position:
The successful candidate will be based in Nicosia and provide personalized office and administrative support in a well-organized and timely manner to the CEO of the Family Office.


Duties and Responsibilities:

  • Maintain and manage the CEO's schedule, including appointments, meetings, and travel arrangements.

  • Coordinate with internal and external parties to schedule meetings and events efficiently.

  • Anticipate scheduling conflicts and proactively resolve them to optimize the CEO's time.

  • Provide support during travel, such as handling logistics and addressing any unexpected issues.

  • Manage the CEO's email inbox, screening and prioritizing messages for action or response.

  • Serve as a point of contact for internal and external communications, handling inquiries and requests promptly and professionally.

  • Handle administrative tasks, such as filing, organizing documents, and maintaining records.

  • Assist in preparing meeting agendas, materials, and follow-up action items.

  • Maintain confidentiality and discretion when handling personal matters and sensitive information.

  • Build and maintain positive relationships with internal and external stakeholders, including family members, colleagues, clients, and vendors.

  • Organize and maintain electronic and physical files, ensuring easy retrieval and accessibility of information.

  • Anticipate potential issues and proactively address them to prevent disruptions or delays.

  • Exercise sound judgment and problem-solving skills in resolving challenges and making decisions on behalf of the CEO.

  • Responsible for the daily logistics and administration of the company’s office.

Skills - Qualifications – Experience:

  • A University Degree or a secretarial diploma

  • Proven previous work experience as a personal assistant.

  • Microsoft Word, Excel and Outlook proficiency.

  • Excellent verbal and written communications skills in Greek and English are essential.

  • Good organizational, time management and typing skills.

  • Ability to multitask, prioritize daily workload and being comfortable dealing with a diverse pool of people.

  • Discretion and confidentiality.


Location
The position is for the company’s offices in Nicosia, Cyprus.
