ICAP Recruitment Solutions, on behalf of its client, a leading international organizational is seeking to hire an Administration & Marketing Support officer to join their growing team.

 

Administration and Marketing Support Officer

Duties and Responsibilities:

  • Provides extensive and comprehensive secretarial and administrative support to Country Lead and other executives of the Department

  • Organizes, implements and supervises the organization of conferences/events/lectures, taking all the necessary actions regarding the accommodation, transportation and catering of the participants, according to the purchasing policy and the procedures of the Company

  • Attends conferences and events if required, to ensure good organization and immediate resolution of problems that arise

  • Provides assistance to the Department for the supply of promotional materials, printing materials and for entries in publications, in accordance with the specifications of the CNS Department and the company's procedures

  • Carries out research of suppliers (travel agencies, airlines, hotels, restaurants, companies producing promotional materials and printing materials) that will provide the Company with products and services that meet its requirements

  • Responsible for periodic activity reports and their costs

  • Responsible for handling the central e-mail address of the Company (receipt and response to e-mails) and also for fax

  • Responsible for receiving requests from the customers of the Department and transferring them to the head of the Department

  • Acts as a liaison with various new and existing suppliers for the management of day-to-day operations and the proper functioning of offices (i.e. arrangements for hiring new photocopiers, office supplies, e.g. stationery, cleaning services, etc.)

  • Processing requests for the purchase of supplies and/or services for the department

  • Participation in trainings organized by the Company

  • Responsible for booking meeting room

  • Recording of adverse events and forward them to the Pharmacovigilance Department

  • Contact Health Professionals for additional information on adverse events, if required

  • Creating and maintaining file documents, archiving and retrieving files of the Department

  • Implements the Code of Ethics and the policies/procedures (Compliance, PhV / AEs, Medical, etc.) of the Company, but also relevant policies of the cooperating companies

  • The holder of the position may be assigned by his supervisor tasks of general interest that are consistent with the object of the organizational unit to which she/he belongs.

 

Requirements : 

  • Higher education graduate

  • Excellent knowledge of English and Greek

  • 2-3 years’ experience in an administration role

  • Strong computer skills

  • Dynamic and disciplined character

  • Excellent organizational and communication skills

  • Ability to work under pressure and resolve problems.
