Title: Adoption-Foster Assistant / Volunteer co-ordinator

DEFINITION
You will perform duties on a daily basis to promote the dogs in our care for adoption, to provide support and provide immediate assistance to foster families that have a dog in their care and to manage all volunteers. You will also promote the goals of our organisation to the general public.

Under the supervision of the Head Adoption Co-ordinator and the Centre Manager, you will oversee the animal adoption program and volunteers of 2nd Chance Dogs.

 

The ideal candidate will establish and maintain effective working relationships with potential adopters, volunteers, the general public, as well as other 2nd Chance Dogs employees.

 

You will assist centre staff in the assessment of animals, preparation for adoption, rescue, transfer or transport, including preparation of applicable paperwork. While providing excellent customer service, you will screen potential adopters/fosters, explain policy and procedures, and provide general information to the public in person/ by phone/ by email or via social media communication methods.

 

You will provide guidance to other staff assisting in the adoption process and supervise the centre volunteers. You will assist with event planning and coordination to include setting up on- and off-site events for foster care and adoption programs.

 

You will be responsible to input data using the organisations CRM (Customer Relationship Management software).

You will be responsible for all the volunteers of 2nd Chance Dogs and will allocate and organise schedules for volunteers that wish to work at the centre

 

You will also perform basic clerical and administrative tasks.

You must commit to a high standard of safety and follow all established safety procedures and protocols and be willing to take immediate action to address safety concerns.

The successful candidate must be able to work flexible hours, weekends, and holidays as necessary.
 

SUPERVISION RECEIVED AND EXERCISED
Will report directly to the Head Adoption Co-ordinator for adoptions and fosters

Will report directly to the Centre manager for the centre volunteers or dog related issues.

 

SALARY: TBD based on experience

 

SCHEDULE: Full time – Seasonal Variations:

Winter Schedule - 4 months (December 1st to March 31st)

 

4.5 days during the week & 1 days during the weekend

Hours : 8:00am - 12:00pm and then 13:00pm -17:00pm

Lunch Break 1 hour

 

Summer Schedule - 4 months (June 1st to September 30th)

 

4.5 days during the week & 1 days during the weekend

Hours : 8:00am - 12:00pm and then 17:00pm - 21:00pm

Lunch Break 5 hours

 

Fall/ Spring - 4 months (Fall - October 1st to November 30th) (Spring - April 1st to May 31st)  

 

4.5 days during the week & 1 days during the weekend

Hours : 8:00am-12:00pm and then 3:00pm-7:00pm

Lunch Break 3 hours

LOCATION :2ND Chance Dogs centre office in Nicosia and external work for home checks Island wide.

 

 

WORK ENVIRONMENT
Work is performed in office settings, with moderate inside temperatures. The noise level in the work environment is usually moderate in the office. External work is performed for house inspections.

 

EQUIPTMENT

The organisation will provide a paid for mobile phone and phone number which will be used for the purpose to communicate with potential adopters, current adopters, foster carers and volunteers.

You will also use a vehicle belonging to the organisation for external home inspections of potential adopters. All transport expenses will be covered by the organisation.

 

PHYSICAL REQUIREMENTS
For indefinite periods of time – mobility within the Adoption Centre; stooping; standing; sitting; kneeling; lifting, and controlling dogs while on a leash. Have a clarity of hearing; communicating clearly and effectively in both English and Greek, in person and by telephone; ability to operate a camera in settings with dogs and basic computer skills.

 

Knowledge of:

  • Knowledge of social media and its functions.
  • Communication skills
  • Fluent use of windows operating system
  • Fluent in English and Greek both reading and writing

Must have the ability to:

  • Learn and effectively develop skills in the humane treatment of animals.
  • Communicate clearly and concisely, both orally and in writing in Greek and English
  • Provide professional service to both internal and external towards volunteers and adopters.
  • Accurately observe and remember names, places, incidents, people, and animals.
  • Establish and maintain effective relationships with those contacted in the course of work.
  • Perform duties with a significant degree of independence within established guidelines.
  • Multitask and work with interruptions.
  • Learn computer programs that are an essential function to the Adoption Centre and Rescue centre operations.
  • To control a group of volunteers and to delegate tasks to team members
  • Be able to work without the constant presence of supervision, punctually and responsibly.
  • Adheres to attendance and punctuality policies demonstrating dependability.
  • Adheres to dress code policies to present a professional appearance. Should exhibit appropriate grooming and attire for the position and responsibility.

 

TRAINING AND EXPERIENCE
High School Diploma 

Experience with dog’s essential

(Full training will be provided)

 



LICENSES AND CERTIFICATES
Possession of a valid Driver’s License.

 

 

DUTIES include, but are not limited to, the following:

 

Adoptions:

  • To assist the Head Adoption co-ordinator in duties.
  • Greets and assists potential adopters at the centre.
  • Answers or replies to phone inquiries for adoptions.
  • Screen adoption applicants
  • Interview potential adopters
  • Perform site inspections, as needed
  • Communicate with all potential & approved adopters
  • Maintain adopter database in the organisations CRM
  • Assisting with finding foster homes
  • Coordinate adoptions onsite and offsite
  • Coordinate and run adoption or awareness events
  • Coordinate transport of animals as needed
  • Develop and keep adoption profiles on website are up to date
  • Collaborate with team members to advertise adoption events accordingly
  • Maintain clean and sanitary equipment work area, in the centre daily, plus vehicles.
  • Completes required reports and maintains accurate records and files on adoption cases.
  • Follow up on all adopted dogs as will be instructed by Head Adoption Co-ordinator
  • After hour and adoption events as needed.

Volunteers:

  • Greets and assists volunteers at the centre.
  • Answers or replies to phone inquiries for volunteers.
  • Screen volunteer applicants
  • Educates new centre volunteers
  • Provide new volunteers with basic training
  • Communicates with all Volunteers
  • Maintain Volunteer database
  • Coordinate volunteers onsite and offsite
  • Assigning activities to volunteers to perform
  • Communicating to volunteers through emails and a weekly newsletter;
  • Organising volunteers for special events
  • Develop volunteers program that will motivate volunteers
  • Is in charge of the safety of all volunteers and adheres to all safety policies to prevent unnecessary or unreasonable risk of injury to self, volunteers, or property
