Context:

Under the direct supervision of the Head of Office, and having in mind the potential migrants’ needs for return assistance, the incumbent will have the following duties and responsibilities.

Core Functions / Responsibilities:

  1. Receive calls from Migrants and Partners and relay them as instructed
  2. Assist in archiving IOM Nicosia documentation
  3. Maintain the contact list of the mission
  4. Perform general administrative duties, such as arranging flight tickets, making hotel bookings, draft TAs and expense claims, maintains the calendar, drafts routine correspondence and forms and provide general Administrative support
  5. Perform Petty Cash Custodian duties
  6. Assist in procurement process such as in requesting and ordering purchases for goods and drafting Agreements for services
  7. Assist with informal translation from English to Greek and Greek to English where required
  8. Perform such other duties as may be assigned.

Required Qualifications and Experience

Education

  • University degree / College diploma in Secretarial Studies, Office Administration or a related field from an accredited academic institution with one year of relevant professional experience;

OR

  • High School degree / certificate with three years of relevant professional experience.

Experience

  • Previous work experience in performing secretarial tasks and office administration;
  • Good knowledge of information technology and proficiency in Microsoft Office applications especially Word and Excel.
  • Prior work experience in international organizations, multi-cultural work environment is an advantage.

Languages

  • Fluency in Greek and English is required.
  • Any other IOM official language is an advantage.

Only candidates residing in either the country of the duty station or from a location in a neighbouring country that is within commuting distance of the duty station will be considered. In all cases, a prerequisite for taking up the position is legal residency in the country of the duty station, or in the neighbouring country located within commuting distance, and work permit, as applicable.
