Our client, an established engineering firm with offices in Cyprus and abroad, seeks to employ an HR office Administrator for their Nicosia office. The ideal candidate will have strong administration experience, the ability to juggle many tasks and have an interest/knowledge in HR. Fluency in Greek and English is essential.

Key Responsibilities:

Administration

  • Answer, screen and forward any incoming phone calls 
  • Receive and sort daily mail/deliveries/couriers
  • Handle office petty cash
  • Manage and undertake local purchases concerning office supplies 
  • Organise travel arrangements (tickets/hotels, airport transport, etc)
  • Liaise the building management company to ensure that the office is maintained
  • Liaise with company offices outside of Cyprus 
  • Greet visitors  
  • Support company ISO officer and liaise with the certifying agency 

Projects

  • Assist with project management duties and performing administrative functions concerned with company projects
  • Maintain project archive documents per record requirements
  • Assist project teams with preparing submittals (photocopying /filing/preparing presentations) as needed
  • Create, maintain and update project timesheet files on company software (Teamleader)

Finance

  • Organize accounting files for bookkeeper
  • Issue employee annual earning certificates for income tax
  • Support employees in their annual tax filing as needed 
  • Liaise with  external auditors 
  • Prepare company monthly invoicing
  • Follow up on payments / receivables, local & international 
  • Prepare payments for the bank, deliver the same to bank as necessary
  • Prepare and issue monthly payroll
  • Manage company car delivery/receipt to and from employees
  • Handle employee travel expenses

HR

  • Maintain and update Employee Manual 
  • Provide support in the various human resource functions, which include recruitment, staffing, training and development, performance monitoring and employee counselling in line with CYP Labor Law regulations and company procedures
  • Provide advice and assistance when conducting staff performance evaluations
  • Organize staff training sessions, workshops, and activities
  • Process employee requests for outside training while complying with policies and procedures
  • Deal with employee HR matters
  • Follow up applications with HRDA for subsidies
  • Keep up with local labour law 

 

Candidate Profile:

  • Strong written and spoken communication skills in both English and Greek
  • Proficient in Microsoft Office suite of applications (Word / Excel / PowerPoint)
  • Organizational skills
  • Ability to balance multiple priorities
  • Flexible and adaptable approach to work
  • Ability to establish and maintain effective working relationships with co-workers, management, and clients
  • Good knowledge and understanding of HR needs, CYP labour law, HRDA
  • Knowledge of ISO certification procedure is a plus
