Technical Coordinator

Role Overview
The successful candidate will utilize their business, technical, and educational background to support the Technical Managers in the day-to-day administrative and operational functions of the Technical Department. The role involves coordinating technical documentation, monitoring vessel compliance, maintaining accurate records, and liaising with internal and external stakeholders worldwide.
Key Responsibilities

Assist Technical Managers and Superintendents with vessel repairs, services, and related arrangements.

Process service requests and invoices through the AMOS system.

Maintain and monitor vessel certificates, ensuring compliance with class, statutory, flag, and survey requirements.

Liaise with Flag Administrations to obtain authorisations, exemptions, and other required approvals.

Maintain vessel plans, manuals, technical documents, and electronic filing systems.

Monitor and organise the storage of vessel plans, manuals, and technical records.

Download and review Class Status Reports and monitor vessel certification requirements.

Monitor monthly vessel reports and ensure all required documentation is received and properly filed.

Maintain accurate KPI records and ensure information is readily accessible.

Coordinate service technicians' travel arrangements, including flights, transportation, and vessel embarkation/disembarkation.

Follow up on service-related invoices and coordinate with relevant parties.

Maintain fleet stationery inventory and assist with office stock management.

Maintain and organise vessel inspection, dry-docking, paint, SID, and P&I reports.

Arrange the dispatch of certificates to vessels and follow up to confirm safe receipt.

Review and distribute Agency Disbursement Accounts (DAs) to the relevant Superintendents for approval.

Assign budget codes to service-related expenses and follow up on discrepancies with port agencies.

Liaise with Classification Societies regarding invoicing and purchase order issuance.

Provide technical documentation and information to other departments as required.
Skills and Experience

University degree (preferably in Shipping, Marine Engineering, or a related field).

Previous experience in a similar position will be considered an advantage.

Excellent communication skills, with fluency in both written and spoken English.

Proficient in MS Office applications, with the ability to prepare structured and analytical reports.

Strong analytical thinking skills and the ability to perform effectively in a demanding environment.

Strong listening, comprehension, and problem-solving abilities, combined with a proactive and positive attitude.

Ability to manage multiple tasks and monitor various project milestones simultaneously.
