JOB PURPOSE:

The Executive Assistant provides proactive, highly confidential and comprehensive executive and personal support to the Managing Director, ensuring the effective management of priorities, commitments and day-to-day activities.

The position acts as a trusted point of contact and facilitates seamless communication and coordination with internal and external stakeholders It proactively manages the Managing Director's diary, meetings, correspondence, travel arrangements, follow-ups and other personal and professional requirements.

The role ensures the smooth, organised and efficient operation of the Executive Office, anticipating needs and maintaining the highest standards of professionalism, discretion and accuracy.

DUTIES & RESPONSIBILITIES:

  • Provide proactive executive and personal assistance to the Managing Director, managing the diary, appointments, correspondence, travel arrangements, meetings, commitments and follow-ups.

  • Ensure the smooth and efficient operation of the Executive Office, coordinating daily activities, resources, administrative processes and priorities in line with Company standards and procedures.

  • Act as a trusted liaison with internal and external stakeholders, ensuring professional communication, timely responses, effective coordination and appropriate follow-up on matters requiring the Managing Director's attention.

  • Prepare and manage confidential documentation and executive communications, including reports, presentations, minutes, correspondence, records and other business-related information, ensuring accuracy and discretion at all times.

  • Support the Managing Director and Company's management in operational and business activities, including meetings and events, supplier and Head Office coordination, site inspections, projects, process improvements and initiatives that contribute to efficiency, service quality and profitability.

REQUIRED QUALIFICATIONS AND SKILLS:

  • Graduate of a Secretarial Institution.

  • Proven experience in an Executive Assistant, Personal Assistant or senior administrative role.

  • Excellent organisational and time-management skills, with strong attention to detail and the ability to manage multiple priorities.

  • Excellent written and verbal communication skills, with a professional and confident manner when dealing with guests, VIPs and stakeholders.

  • High level of discretion and confidentiality, with sound judgement and professionalism when handling sensitive information.

  • Strong computer skills, including MS Office, and the ability to prepare reports, presentations, correspondence and meeting documentation.

  • Great focus and attention to detail; able to conduct research and manage records.

  • Excellent command of both Greek and English (written and verbal)
