CareerFinders, on behalf of our client, a Hospitality Group which owns and operates a number of luxury resorts in both Cyprus and Greece, we are seeking to recruit a Front-Office Manager to join their growing team based in Paphos. The successful candidate will be responsible for the efficient daily operation of the Front Office, ensuring excellent guest service from arrival through departure. You will lead the reception team, maintain operational standards, coordinate closely with other departments and ensure that guest requests, complaints and administrative procedures are handled professionally and efficiently. An academic background relating to Secretarial Studies, Business Administration, or similar is desirable, and you will need to possess previous supervisory or management experience within a hotel Front Office. Good knowledge of hotel PMS and Front Office procedures is essential, and excellent verbal and written communication skills in English are a must. Key Duties/Responsibilities: 

  • Manage and supervise the daily operation of the Front Office, ensuring smooth and efficient service across all shifts.
  • Lead, train, motivate and monitor Front Office employees, ensuring compliance with hotel standards, procedures and grooming requirements.
  • Ensure all check-in, check-out, room allocation, billing and payment procedures are completed accurately and efficiently.
  • Monitor arrivals, departures, VIPs, groups, special requests and room status on a daily basis and ensure appropriate preparation and follow-up.
  • Handle guest complaints, concerns and service recovery situations professionally, taking ownership until satisfactory resolution.
  • Coordinate closely with Housekeeping regarding room readiness, room status discrepancies, early arrivals, late departures and special requirements.
  • Maintain effective communication with Reservations, Guest Relations, Maintenance, F&B, Finance and other departments to ensure a seamless guest experience.
  • Monitor Front Office cash handling, credit procedures, cashier closures and financial controls, investigating and reporting discrepancies where necessary.
  • Ensure guest profiles, reservations and information within the Property Management System (PMS) are accurate and properly maintained.
  • Prepare staff schedules according to occupancy, operational requirements and approved payroll levels, while efficiently managing holidays and absences.
  • Conduct regular departmental briefings and ensure proper shift handovers and communication of important operational information.
  • Monitor guest feedback and Front Office-related reviews, identify recurring issues and implement corrective actions where appropriate.
  • Support opportunities for room upgrades, additional services and hotel revenue generation while maintaining a guest-focused approach.
  • Participate in recruitment, induction, training, performance evaluations and disciplinary procedures concerning Front Office employees.

 

Key Skills/Experience: 

  • An academic background relating to Secretarial Studies, Business Administration, or similar is desirable.
  • Previous supervisory or management experience within a hotel Front Office.
  • Strong leadership, communication and guest-service skills.
  • Excellent organisational and problem-solving abilities.
  • Good knowledge of hotel PMS and Front Office procedures.
  • Strong command of English; additional languages are an advantage.
  • Ability to remain professional and decisive in high-pressure guest situations.
  • Strong attention to detail and financial/administrative accuracy.
