JOB POSITION: Administrative Secretary

SMARTWATER is a trade company registered and based in Nicosia, Cyprus, specialised in water management systems and fluid handling solutions. With more than 20 years of experience, the company is certified with ISO 9001, ISO 14001 and the highest European Environmental Management EMAS.

SMARTWATER is seeking an energetic and capable Administrative Secretary to support office administration. In this role, you will help keep daily operations organised by processing documents, maintaining databases, liaising with the public, and supporting general office needs, including office supplies.

To succeed in this role, you should have excellent communication skills and demonstrable experience in a secretarial position.

Key Responsibilities
  • Report to management and perform general secretarial duties.
  • Process, type, edit, and format reports and documents.
  • File documents and maintain records, including data entry and database upkeep.
  • Liaise with internal departments and communicate with the public.
  • Direct internal and external calls, emails, and faxes to the relevant departments.
  • Arrange and schedule appointments, meetings, and events.
  • Support with copying, scanning, faxing, emailing, note-taking, and travel bookings.
  • Monitor office supplies and order replacements when needed.
  • Prepare facilities and arrange refreshments for events, if required.
  • Welcome and direct visitors and clients.
  • Carry out general clerical and secretarial tasks as requested, which may include digital record keeping, petty cash handling, coordinating equipment maintenance, and managing packages and correspondence.
  • Perform other related duties as assigned.
Required Skills and Qualifications
  • Detail-oriented and professional approach.
  • Associate diploma or degree in a related field (preferred).
  • Formal qualification in office administration, secretarial work, or related training.
  • Basic accounting knowledge.
  • 2+ years of experience as an Administrative Secretary (advantageous).
  • Excellent written and verbal communication skills, with very good knowledge of English and Greek.
  • Strong ability to manage documents, spreadsheets, and databases, including proficiency in Microsoft Office Suite, internet and Google.
  • Ability to organise and prioritise tasks, including delegating tasks when appropriate.
  • Basic understanding of clerical procedures and systems such as recordkeeping, filing, and general organisational practices.
  • Working knowledge of printers, copiers, scanners, and other office equipment.
  • Proficiency with appointment scheduling and call forwarding systems.
  • Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable laws or guidelines.
Salary

A very satisfactory basic salary is offered according to the level of experience and education, including a 13rd salary.

  • Vacation or Cash Bonuses: bonus achievement will be awarded at the end of the year.

Notice: Job position may be submitted under the subsidy plans of the ANAD and the Ministry of Labour.
