Role summary
As a Front Desk Agent, you are responsible for delivering guest service that meets company and hotel policy standards. You will support a smooth guest experience from arrival through departure, while following procedures for safety, security, and cash handling.
Key duties and responsibilities
- Process guest check-ins by confirming reservations, assigning rooms, and issuing or activating room keys.
- Handle guest check-outs, including resolving late charges and disputed charges when needed.
- Process payments using all accepted methods, including room charges, cash, checks, debit, and credit.
- Answer, record, and process guest calls, messages, requests, questions, and concerns using clear, professional language and proper telephone etiquette.
- Coordinate with Housekeeping to monitor room readiness for check-in.
- Communicate parking procedures and coordinate with bell or valet staff as needed.
- Provide directions and information about hotel facilities and local attractions.
- Run daily reports (arrivals, departures), identify special requests, and ensure report accuracy.
- Complete cashiering and closing reports in the system.
- Cash personal checks and traveler’s checks when required.
- Count the bank at the beginning and end of shifts.
- Balance and process receipts according to accounting procedures.
- Follow all company safety and security policies and procedures, and report accidents, injuries, and unsafe conditions to management.
- Maintain a clean, professional uniform and personal appearance.
- Protect the confidentiality of proprietary information and company assets.
- Welcome and acknowledge guests according to company standards.
- Anticipate and respond to guest service needs, including assisting guests with disabilities.
- Build and maintain positive working relationships with colleagues and comply with quality assurance standards.
- Stand, sit, or walk for extended periods.
- Move, lift, carry, push, or pull objects up to 10 pounds without assistance.
- Perform other reasonable duties as assigned by supervisors.
General responsibilities
- Attend meetings and training sessions as required by management.
- Be familiar with hotel fire procedures, security procedures, facilities and attractions, and health and safety policies and procedures.
- Follow operational standards and departmental procedures.
- Be familiar with accepted payment methods (cash-handling staff only).
- Be familiar with current licensing regulations (Food and Beverage department only).
- Comply with company policies for quality, environmental, and food safety standards.
Qualifications
- High school diploma or equivalent (a degree in Hotel Management is an advantage).
- At least 2 years of front desk experience in 4- or 5-star hotels.
- Excellent command of English (Greek and Russian are a plus).
- Strong communication skills.
- Knowledge of hotel Property Management Systems (PMS).
- Physically able to stand for extended periods.
- Pleasant and professional personality with a customer-focused attitude.
