We are looking for a dynamic, organized, and detail-oriented professional to join our Food & Beverage Team and support the planning, coordination, and administration of conferences, weddings, functions, and other Food & Beverage events.

Food & Beverage Events Administrator
Key Responsibilities
- Provide administrative and coordination support for all Food & Beverage events, functions, and group activities.
- Coordinate event requirements with clients and relevant hotel departments.
- Prepare and maintain event documentation, function sheets, menus, schedules, and related correspondence.
- Ensure all event details (timings, menus, layouts, special requests, and operational requirements) are accurately communicated.
- Liaise closely with the F&B operational team, Kitchen, Sales, Reservations, Front Office, and other departments to ensure smooth event execution.
- Follow up on event arrangements and handle last-minute amendments.
- Maintain accurate event files, records, and databases.
- Assist with quotations, proposals, contracts, and event-related correspondence.
- Coordinate with external suppliers and partners when required.
- Assist in monitoring event-related costs, charges, and billing information.
- Support the F&B Management team with reports, presentations, schedules, and general administrative duties.
- Ensure professional and timely communication with guests and clients before, during, and after events.
- Contribute to high service standards and exceptional guest experiences.
Requirements
- Minimum 2 years of experience in an administrative, events, F&B, or hospitality-related role.
- Previous experience in a hotel, events, or Food & Beverage environment is a strong advantage.
- Excellent organizational and coordination skills, with strong attention to detail.
- Strong communication and interpersonal skills.
- Ability to manage multiple events, priorities, and deadlines at the same time.
- Strong computer literacy, especially MS Office (Word, Excel, Outlook, and PowerPoint).
- Professional attitude and ability to communicate effectively with clients, colleagues, and external partners.
- Ability to work effectively in a fast-paced hospitality environment.
- Excellent command of Greek and English, written and spoken.
Academic Qualifications
- Diploma or Degree in Hospitality Management, Events Management, Business Administration, Tourism, or a related field is an advantage.
