The PA to the Deputy CEO supports the Group’s DCEO with a variety of responsible and confidential secretarial and administrative duties. The role helps implement and maintain procedures and administrative systems, supports the implementation of the Group’s Management System, and makes suggestions for improvements.
Key Responsibilities
Management of the DCEO’s Office
- Develop and maintain the DCEO’s office files (manual and electronic).
- Ensure documents, forms, and reports requiring approval are processed and signed in a timely manner.
- Remind the DCEO of important tasks and deadlines.
- Prepare and review a daily agenda with the DCEO covering all ongoing matters.
- Coordinate and collect required data and reports from Department Managers and/or Associates for preparation and review of the daily agenda.
- Maintain important and confidential business agreements and contracts.
- Format information for internal and external communication on behalf of the DCEO, including memos, emails, presentations, correspondence, reports, invitations, and thank-you notes.
- Screen phone calls, enquiries, and requests addressed to the DCEO, handling them accordingly and liaising with clients, suppliers, and employees.
- Meet and greet senior visitors and act as a point of contact between the DCEO and other executives, employees, clients, and external associates.
- Manage information flow in a timely and accurate manner.
Projects
- Participate in ad hoc projects and research on behalf of the DCEO.
- Register and maintain files for new projects.
- Act as coordinator between the DCEO and Project Associates.
Diary and Meeting Organization
- Manage the DCEO’s schedule and set up meetings.
- Prepare meeting arrangements and ensure the DCEO is well prepared for meetings.
- When required, attend meetings, take minutes, and keep records of important meetings.
- Attend meetings with Managers and/or other associates as required.
Travel Coordination
- Plan and coordinate domestic and international travel for the DCEO, as necessary.
- Book and arrange visas, travel, transport, and accommodation.
- If required, travel with the DCEO to take notes at meetings or provide general assistance during presentations.
Required Qualifications and Competencies
- Higher education and previous related work experience.
- Integrity, confidentiality, discretion, and high standards of professionalism and work ethics.
- Initiative, commitment, self-motivation, and cooperation.
- Computer literate with excellent command of Greek and English (written and spoken); additional languages are advantageous.
- Ability to manage workload and meet strict deadlines.
- Strong verbal and written communication, time management, and organizational skills.
- Proactive, with the ability to anticipate issues that may arise.
- Ability to discern urgent matters and prioritize tasks in the DCEO’s schedule.
