The Position:
On behalf of our Client, G.A. Stamatis & Co Ltd, we are seeking for an Administrative & Logistics Officer to join their team in Nicosia.
Duties & Responsibilities:
- Manage purchase orders for medicinal products and follow up with Principals to ensure timely delivery.
- Coordinate imports, shipments, collection and deliveries with freight forwarders and other external partners.
- Handle product costing and maintain accurate product, order, payment and other relevant information in the ERP system.
- Prepare monthly orders, reports and relevant documentation for Principals and Health Authorities.
- Review and monitor sales orders, invoices and related documentation.
- Coordinate and support the Logistics Assistant in day-to-day logistics activities.
- Monitor Health Authority tender announcements and communicate relevant information to Management and Principals.
- Prepare and submit tender documentation and maintain tender forecasts, orders, rebates and relevant ERP records.
- Support the Business Director with pricing procedures and other requirements relating to Health Authorities.
- Support quality procedures, including product recalls, destructions and supplier/subcontractor evaluations.
- Ensure compliance with company policies, SOPs, regulatory requirements, ethical standards and confidentiality obligations.
- Report product quality complaints, adverse events and other pharmacovigilance-related information in accordance with company procedures and required timelines.
- Assist with the organisation of company events, training sessions and internal meetings when required.
- Maintain accurate electronic and/or physical filing and administrative records.
- Provide administrative induction support to new employees.
- Assist with the maintenance and administration of company assets.
- Attend relevant Quality and other internal meetings and participate in company training as required.
- Act as designated back-up, when required, for certain logistics, warehouse, customer order/sales administration and basic IT support activities.
- Serve as one of the company's designated First Aiders.
- Undertake any other relevant administrative, logistics or operational duties assigned by Management.
Skills & Qualifications
- Bachelor’s degree in Business Administration, Logistics, Supply Chain Management or another relevant field.
- Previous experience in logistics, procurement, supply chain, imports or a similar operational/administrative role.
- Experience within the pharmaceutical or healthcare sector will be considered an advantage.
- Good knowledge of MS Office, particularly Excel, and familiarity with ERP/accounting systems.
- Strong organisational and planning skills with the ability to manage multiple priorities and meet deadlines.
- High level of accuracy and attention to detail.
- Good numerical and analytical skills.
- Strong communication and interpersonal skills.
- Excellent command of Greek and English, both written and spoken.
- Valid driving licence.

The position is for the Client's offices in Nicosia
