PA/Business Support Assistant

Some of the areas we specialise in are marketing, quality assurance, finance, customer service, anti-fraud, and compliance.

We are now seeking to recruit an experienced PA/Business Support Assistant

Reports to: Head of Executive Support/CEO

Purpose of the Role: ​To help the Head of Executive Support provide business support to the CEO, the Management Team and the wider team, in an accurate, timely, efficient and professional manner, consistent with defined business targets and objectives.

Key Responsibilities – PA:

  • Facilitating the smooth running of the CEO’s office through efficient organisation and pro-active support.
  • Performing a wide range of duties required to support the day-to-day operations of the CEO, including executive administration and project coordination.
  • Planning, organising and booking meetings, flights, visa, hotels etc. for the CEO.
  • Managing the schedule of the CEO, if required.
  • Processing the expenses for the CEO.
  • Assisting the CEO with private and business matters in running the office.
  • Liaising with clients and external agencies.
  • Maintaining an overview of all key issues requiring the CEO’s attention, keeping the CEO up to date with appropriate information and flagging issues.
  • Communicating effectively with the CEO, including providing progress reports on current projects.
  • Managing projects independently, including understanding and articulating goals and desired outcomes, establishing timelines and prioritizing tasks.
  • Anticipating problems and finding appropriate solutions when issues occur.
  • Handling highly confidential information in a professional, discreet and conscientious manner.

Key Responsibilities – Business Support Assistant:

  • Completing or assisting with various due diligence and other information requests, including researching and identifying requirements, collating information and documentation from various internal and external sources and arranging for documents to be certified, notarised, apostilled and translated as required.
  • Assisting with a wide range of applications and other submissions for various jurisdictions, including preparing correspondence, completing forms, reviewing information, assembling documentation and formatting information and records as required.
  • Assisting with contract and other documentation approval processes, including arranging for documents to be signed electronically and in wet ink, inputting details and archiving scanned copies of completed contracts and other documents in databases and other directories.
  • Providing a wide range of administrative support for various projects as and when required.
  • Researching and suggesting potential solutions for strengthening existing record keeping systems.
  • Taking minutes at internal meetings as and when required.
  • General administrative duties, including dealing with correspondence, printing, scanning, faxing and photocopying.

Other Responsibilities:

  • Undertaking other reasonable duties as instructed by senior management.
  • Keeping abreast of professional knowledge by maintaining personal networks and studying developments within the industry.
  • Escalating issues to Head of Executive Support as appropriate.
  • Maintaining good attendance.

Required Skills and Abilities:

  • Strong administrative background with proven experience of managing documentation and using document management systems.
  • Experience in handling confidential documentation in any form.
  • Experience of taking minutes.
  • Strong IT skills, including Outlook and Microsoft Office packages.
  • Attention to detail and accuracy.
  • Good oral and written communication skills.
  • Excellent organization skills and methodical approach to work.
  • Ability to prioritize and plan tasks independently on daily/weekly basis.
  • Ability to multi-task and work under pressure.
  • Committed to upholding professional standards.

Desired Skills and Abilities:

  • Fluency in Russian desirable, but not essential.
  • Basic knowledge of Company Law desirable, but not essential.
