CareerFinders, on behalf of our client, a newly established company created to provide a full range of loan and real estate management services for one of Europe’s leading investors, we are seeking to recruit an enthusiastic and proactive Office Manager to join their newly formed team.

Key Duties/Responsibilities: 

  • Meeting and greeting all visitors/guests; liaising with building security and managing meeting rooms (ensuring they are presentable at all times), provision of supplies and refreshments as needed.
  • Ensure that health and safety policies are in place, up to date, and following compliancy regulations.
  • Provide assistance to ensure day-to-day smooth management and operation of facilities through administrative support and overseeing maintenance tasks.
  • Prepare ad hoc reports and schedules to ensure accuracy.
  • Assisting HR as required; including general attendance, record keeping, staff inductions and escalations of staff issues (as applicable).
  • Maintain records of office supplies ensuring that the office is stocked with all necessary supplies and that all furniture and equipment is working and properly maintained.
  • Manage relationships with vendors and service providers to ensure the best price for the business and ensure that all items are invoiced and paid on time.
  • Review and approve office supply acquisitions (ordering stationery and furniture)Coordinating with the IT department regarding equipment and IT issues and arrange regular testing for electrical equipment & safety devices.
  • Implement the office policies by establishing internal controls for ensuring full compliance.
  • Ensure that all administrative systems / filing systems are kept in order and up-to-date.
  • Manage and record office expenditure according to the associated budget.
  • Assist with the organization of in-house and/or external events.
  • Communicate with departmental heads related to administrative staff needs. 

Key Skills/Experience: 

  • 5+ years of related professional experience in a senior administrative role.
  • Experience managing health and safety for an office environment.
  • Fluent in Greek and English languages, both verbal and written, and highly effective communication skills.
  • Proficient user of Microsoft Office (Outlook, Work, Excel etc.).
  • Good knowledge of office management responsibilities and procedures.
  • Strong time management skills and attention to detail.
  • Ability to work under pressure.
  • Strong problem solving skills.
