Job Description:

We are currently seeking a proactive and detail-oriented individual to join our team as a Complaints Management Assistant. The primary responsibility of this role is to effectively manage customer complaints, ensuring prompt resolution and maintaining client satisfaction. The Complaints Management Assistant will serve as a liaison between the complaints manager and the customer service team, facilitating communication and coordinating efforts to address client concerns.

Key Responsibilities:

  • Receive complaints via Excel reports and CRM systems, ensuring accuracy and completeness of information.
  • Act as the intermediary between the complaints manager and the sales team, conveying relevant information and facilitating resolution efforts.
  • Liaise with the sales team to notify them of complaints, providing necessary details for corrective action with clients.
  • Generate and maintain Excel reports tracking all complaints, including status updates and resolution timelines.
  • Collaborate with the complaints manager to escalate unresolved complaints to legal status when necessary.
  • Ensure compliance with company policies and procedures throughout the complaints management process.
  • Provide administrative support to the complaints manager as needed.

Requirements:

  • Proficiency in Excel is essential for generating and managing complaint reports.
  • Familiarity with CRM systems and their functionalities.
  • Strong communication and interpersonal skills to effectively liaise between various teams.
  • Detail-oriented with the ability to accurately document and track complaints.
  • Ability to work under pressure and prioritize tasks in a fast-paced environment.
  • Previous experience in a similar role is advantageous but not required; full training will be provided.
  • A minimum of 1 year of experience in a related field is preferred.
