CareerFinders, on behalf of our client, an expanding International Group of Companies that offers clients a wide range of Logistical & Distribution services, including Ocean & Air Freight, Road Transportation & Warehousing, we are seeking to recruit a Documentation Officer to join their growing team based in Limassol. The successful applicant will provide critical administrative support to a busy logistics and shipping department, including ensuring that all internal policies and procedures are followed, as well as coordinating with third parties in relation to the transport process and delivery dates of goods. You will ideally be educated to degree level in Business Administration, Logistics, Supply Chain Management and will need to possess knowledge of freight forwarding concepts and port authority procedures and regulations ideally gained working in the Shipping, Logistics and/or Supply Chain Management sectors. Previous work experience of approximately 3+ years is highly desirable, and excellent communications skills in English are essential. Key Duties/Responsibilities:
- Ensure that all department policies and procedures are implemented.
- Coordinate with third parties to inform about transport process, pickup and delivery dates of good (by air or sea) according to customers’ requirements.
- Coordinate with third parties for compliance of all shipping documents following customs’ requirements.
- Follow up on departure and arrival of goods.
- Follow up on the loading and discharging of cargo.
- Prepare and submit shipping notes to third parties in compliance with customs procedures and regulations.
- Prepare and/or assist in the preparation of shipping docs (BL/AWB/Cargo Manifests/ AMS & ISF filing etc.).
- Coordinate with destination agents for a proper release of delivery orders to clients when applicable.
- Open & close jobs in coordination with the account responsible.
- Open accounts for new clients in coordination with the accounting department
- Issue invoices/Debit notes in coordination with supervisor.
- Report to agent and supervisor all pending shipments (delay in loading, shipping, arrival, release, invoicing, etc.).
- Submit bi-weekly and monthly statistics report to the General Manager.
- Ensure proper filing of all files and documents.
- Prepare offers for personal shipment requested by clients ( LCL and FCL for Imports and Exports shipments).
Key Skills/Experience:
- Ideally educated to degree level in Business Administration, Logistics, Supply Chain Management or a related field.
- 3 + years of experience in the Freight Forwarding field.
- Knowledge of freight forwarding concepts.
- Knowledge of all port authority procedures and regulations.
- Knowledge of customs procedures and regulations is highly desirable.
- Outstanding organisational and administrative skills are a must.
- Excellent attention to detail.
- Proficient with MS Office.
- Excellent verbal and written communication skills in English.
- Ability to work well independently and as part of a team.
