Pafilia Group is looking to recruit an experienced Personal Assistant to the Director. The successful candidate will perform secretarial and administrative duties for the Director. A considerable amount of this work is confidential and involves high level of coordination and accuracy.

Responsibilities:

  • Acting as the Director’s first point of contact: dealing with correspondence and phone calls
  • Managing the Director’s diary and organising meetings and appointments, andcontrolling access to the Director
  • Reminding the Director of important tasks and deadlines
  • Typing, compiling and preparing reports, presentations and correspondence
  • Compose and type emails and correspondence
  • Managing databases and filing systems
  • Managing, filing and reconcile Bank Accounts of the Director
  • Implementing and maintaining procedures/administrative systems
  • Organising events and conferences
  • Liaising with staff, suppliers and clients
  • To carry out background research for enquiries and requests before bringing them to the Director’s attention for decisions/approval
  • To draft meeting’s agendas and take minutes, follow up on the actions agreed
  • Organising business trips for the Director
  • Carrying out specific projects and research upon request
  • In a nut shell to free the Director’s time so that he can spend maximum time on strategic tasks

Necessary requirements:

  • BSc in Business Administration or any other similar studies
  • 5-7 years’ work experience in a similar position
  • Fluency in English and Greek both written and oral
  • Discretion and trustworthiness
  • Flexibility and adaptability
  • Good oral and written communication skills
  • Organisational skills and the ability to multitask
  • The ability to be proactive and take the initiative
  • Tact and diplomacy
  • Communication skills
  • A knowledge of standard software packages
  • To act with professionalism, integrity and confidentiality
  • Excellent Computer Skills, MS Office, Internet & Outlook Express
