CareerFinders, on behalf of our client, an International company operating in the Energy and Oil sectors, we are seeking to recruit a Personal Assistant to the CEO to join their team in Limassol. The successful applicant will hold a minimum of 3+ years previous experience supporting top management and will be fluent in both English and Russian. The successful applicant will be required to work from 10:00am to 7:00pm from Monday to Friday with a degree of flexibility to work additional hours as and when required.

Key Duties/Responsibilities: 

  • Ensuring the decisions and instructions of management and the Chief Executive Officer are adhered to at all times.
  • To handle sensitive and/or confidential information and/or documentation with appropriate discretion and regard for the physical security of associated paperwork and electronic files.
  • Effectively organise meetings and events.
  • Arrange travel, accommodation, taxis and other company travel requirements.
  • Preparation of ad hoc reports that meet the company’s information requirements, as requested by management and the Chief Executive Officer.
  • Preparing correspondence, reports, spread sheets, briefing papers and presentations for meetings/conferences.
  • Provide a high quality, confidential and wide-ranging PA support service to consistently meet the specified needs and expectations of the Chief Executive Officer and Management team.
  • Efficient management of CEO diary in arrangement of meetings both internal and external.
  • General office administration duties to include, but not limited to, filing, scanning, data entry and sending and receiving of faxes.
  • Screening telephone, email and paper communications, and prioritising, responding, redirecting or referring as appropriate.
  • Provide administration and arrange for any maintenance/repair of Company Properties in Cyprus.
  • Identifying improvements to secretarial processes and IT software requirements in order to enhance the level of service provided.

 

Key Skills/Experience: 

  • Excellent knowledge of Microsoft Office, Word, Excel and Internet Explorer.
  • Excellent communication skills, both written and verbal in Russian & English are essential.
  • 3+ years of previous experience supporting top management is essential.
  • Ability to work both independently and as part of a team.
  • Prepared to work out of core hours when required.
  • Well-developed organisational and time management skills.
  • Ability to prioritise tasks and meet deadlines.
  • Ability to properly use, maintain and take care of work related materials and equipment.
