The Media Services Coordinator is responsible for ordering all Media content (media, trailers, EPK’s, subtitles etc.) from suppliers and to ensure the timely delivery of content and associated assets to our relevant internal departments. 

What will your job look like?

  • Timeframe Ordering – Cycle time of when the order is placed with a supplier (relative to order creation and schedule start date, response time to supplier/internal department), to resolution of delivery.
  • Quality of Service – Tracking and resolutions of delivery issues. Internal and external communication.
  •  % of Responsibilities - 40% ordering content, 40% tracking orders & 20% downloading & fulfilling orders.
  • Monitoring internal systems for all material work orders for the relevant territories to ascertain what content needs to be ordered from Suppliers.
  • To liaise with and maintain professional relationships with all suppliers both written and verbally where necessary.
  • Ordering content in the necessary and relevant formats. To confirm access letters are in the specifications needed for each individual platform and to approve price quotes. Ensure content is ordered in most cost-efficient way possible.
  • To document all price quotes for the purpose of reconciling Invoices.
  • To ensure content arrives in-house in line with planners and to fulfil Material Work Orders for the material to be processed accordingly.
  • To provide correct and timely escalation to suppliers of any observed content discrepancies, supplying a QA report and following through until a resolution is found. Documenting all issues in Jira and raising, where necessary, to the Media Services Team Lead or Manager as appropriate.
  • To keep all Media Services documentation correctly updated giving visibility to the rest of the company of content arrival.
  • Downloading of digital content from all suppliers; maintaining correct file paths, folder locations and storage for all source files before/after approval and escalating download issues when necessary.
  • Monitoring all inbound content until successfully received and logged into system.
  • Managing space issues on the internal server and alert any suppliers to any issues that may affect the delivery of content.
  • Ensuring ‘on loan’ periods for content sent by the suppliers are adhered to and material is returned within a given timeframe. 
  • To organise and track couriers to ensure content arrives at a given destination and the relevant platform is billed.
  • To provide support to the Library when necessary and liaise with the external storage facility where necessary or if issues are highlighted by the librarian.
  • To provide correct and timely escalation of any faults in the Library traffic system software, and any associated hardware, where necessary reporting cases to the Media Services Supervisor or Manager as appropriate
  • To observe and enforce VBQ regulations of the distribution of Library content. 

All you need is...

  • Up to 2 years of experience  within a busy Transmission/Production Library or Traffic/Media Services department advantageous. 
  • Graduate applicants are also welcome
  • Experience of working in a VOD environment advantageous.
  • Experience operating a library traffic management software tool and associated hardware i.e. scanners and label printers.
  • A good level of competence in common office applications (such as MS Word, MS Excel).
  • Experience in a client facing role liaising with customers on the status and resolution of issues, with a proven experience of problem ownership, and conclusion.
  • Excellent communication skills, including ability to tailor communication to audience to achieve desired results.
