For our growing team here in Cyprus we are looking for an HR Operations/ Immigration specialist who will be responsible to manage the whole visa processes and ensure holistic & consultative support to the business on the current immigration landscape.

 

You’ll be responsible for:

  • Fully managing the Visa process and documentation needed for employees and families for both entry permits and visa renewals; 

  • Liaise with Migration agencies on Visa Application processing and ensure timelines are followed; 

  • Ensure employees understand visa requirements, process and stages; 

  • Assisting employees and HR team on complex issues and proactively address the risks which can occur;

  • Consulting employees on the process,  deadlines,  and  documents needed, collect documents, and ensure that employees get their documents in-time; 

  • Identifying opportunities for continuous process improvement to ensure scalability and a high quality customer experience; 

  • Ensure that employees are informed regarding visa expiration and necessary documents to be collected; 

  • Working closely with TA team to ensure smooth onboarding/ Coordinate new-comers’ arriving schedule and overall relocation process;

  • Updating documents for new-comers (welcome letter, recommendation letter, list of documents for visa and employment); 

  • Information support and consulting of new-comers of from the moment they got a Job Offer till their first day in the Company (is in touch via Skype, e-mail, phone, send welcome letter, help to collect necessary documents, provide all necessary information and answer questions);

  • Securing a final proper checkup upon "a new-comer" case, that he/she has collected all necessary documents;

  • Ensuring all involved parties are informed  about employees arrival prior to start date (HR BP, Office Administrator, IT, Training) - necessary meeting requests are arranged;

  • Coordinating transportation and accommodation for new-comers and their families in collaboration with the people in change (Office Admin and or Office Manager);

  • Informing everyone who is involved in training & onboarding process - 2  weeks prior to start date of  the new-comer (Office Administrator, IT, Training and Quality); 

  • Ensuring full compliance and governance with better processes and data controls; 

  • Preparing all necessary  documentation for  on-boarding of the employees (contracts, NDA, bank documents, tax documents and etc.)  and make sure all information is well explained to our employees ; 

  • Answering employees questions/ doubts  regarding HR policies and procedures;

  • Working with BambooHR and all the other HR systems, ensuring the accuracy and relevance of the information and its proper usage.

 

Sounds like you?

Education: ✔️Business Administration or HR degree 

Experience: ✔️2+ years immigration experience either in-house or with an immigration firm 

Professional Knowledge and Skills: ✔️ Solid knowledge of MS Office, particularly Excel and Word + ✔️ Very good knowledge of spoken and written English language – fluent level, Russian language will be considered an advantage!
