Exness​, a leading foreign exchange broker in the financial services field, is looking for an experienced ​Office Manager who will join our team in Limassol, Cyprus and work closely with our Head of Facilities & Property to make sure that our newly added 120 working stations function to the highest quality, at the same time supervising the two facilities and their administration are in proper alignment and function properly on a daily basis. 

The Office Manager should be responsible for the general operation of the office, the well-being of the facility, the comfort, convenience and safety of the employees. 

As responsibilities you will:

  • Ensure the efficient and smooth running of the office and a pleasant working environment; 

  • Interact with employees and improve engagement to get insights into what improvements the office craves – and what it lacks;

  • Respond to employee facility enquiries and resolve any problems or issues;

  • Determine current trends and provide feedback to the management;

  • Ensure facilities are in compliance with applicable policies, laws and regulations;

  • Maintain a safe environment for employees and visitors. Develop, update and implement health and safety policies and carry out emergency protocols and procedures;

  • Prepare and monitor office budgets, record office expenditure through software, establish a historical reference for the office costing and suggest improvements;

  • Manage relationships with vendors, service providers and landlord;

  • Set office KPI's and ensure that results are measured against those KPI’s;

  • Build and maintain awareness of facilities-related problems and arrange for necessary maintenance and repairs;

  • Identify opportunities for design and office management improvements;

  • Create presentations and other management level report;

  • Maintain office inventory and tidiness;

  • Sustain proper stock levels of food supplies, stationery and equipment;

What skills you’ll need

  • A bachelor degree or equivalent;

  • Office management / administration experience;

  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint;

  • Time management and organisational skills are essential;

  • Attention to detail and problem solving & analytical abilities;

  • Outstanding communication and interpersonal skills;

  • Strong planning skills in a fast-moving environment;

  • Ability to create and suggest improvements;

  • Fluency in English language as a must, Russian as an advantage;
