Job Description
- Personal assistant duties for two partners
- Handling calls with international clients in English
- Handling email communications with clients and third parties
- Filing documents on a document management system (including legally privileged and sensitive documents)
- Preparing and filing forms and applications with the Registrar of Companies (including the incorporation of companies)
- Carrying out filings with State authorities
- Liaising with Registrar of Companies and other State authorities over the phone
- Handling postal and courier shipments
- Acting as front office / receptionist of the firm
- Ensuring office is in good order and stocked (including kitchen stock)
- Printer maintenance, liaising with technicians for copier and other equipment
- Formatting documents in firm style (expert use of Word, Adobe Acrobat, Outlook)
- Authoring cover letters and paralegal documentation
- Preparing conference room for meetings
Your Profile
- Fluent English speaker (oral and writing) – Fluency is essential
- Fluent Greek speaker (oral and writing) – Fluency is essential
- Excellent oral and written communication skills (handling international client calls and emails at the highest possible level)
- Excellent organisational skills (office organisation / filing experience an advantage)
- Experience with the Registrar of Companies online and physical procedures and filing system
- Experience in the professional services industry (high calibre law firm / audit firm / bank headquarters) would be an advantage
- Experience at a multinational corporation or international organisation will be an advantage
