A N Stasis Estates PLC, a Real Estate and Hotel Company, is looking to hire a full-time Recruitment and Administration Officer.
 
Duties and Responsibilities of the Role
 
A. Recruitment and Employee Administration
 
  1. Maintaining physical and digital personnel records like employment contracts and PTO requests.
  2. Get directions from the Executives, General Manager and Assistant General Manager about vacant positions and turn these directions into detailed and planned recruitment cycles to fulfill those positions.
  3. Maintain physical and digital records of all applicants, their contact details, all other details and their updated status in recruitment cycles, as well as all employees and their performance, status and details, among other necessary information.
  4. Constant updating and maintaining of all digital and physical records, databases and libraries, with a digital-first viewpoint.
  5. Constantly maintain records of filtered applicants for all roles in the business for purposes of immediate interview and/or hire.
  6. Contact, filter and interview applicants, arrange interviews with Supervisors, Managers and Executives where necessary, maintain calendar of all these, as well as arrange all necessary processes to register candidates that get employed.
  7. Develop, maintain, and keep updated all the Roles, Duties and Responsibilities, among others, of the business, the hierarchy chart, as well as have ready short formats of these Roles, Duties and Responsibilities, among others, for immediate job listings, advertisements and recruitment deals.
  8. Research, organize, develop and make business-beneficial agreements with recruitment agencies and other recruiting avenues, within the mindset of ever-expanding development of recruitment sources, under the direction of Management and Executive.
  9. Prepare, post, control and maintain job listing advertisements in various internet mediums and platforms, as well as newspapers.
  10. Support and work with the Accounting Supervisor under the direction of Management and Executive regarding issues of staff salaries and benefits, role duties and responsibilities surveys, and other personnel statutory issues, among others.
  11. Prepare and maintain performance reviews based on employee attendance, employee issues, and employee actual, review, survey and feedback performance, among others.
  12. Create and distribute guidelines and FAQ documents about company policies, and frequently monitor, in some cases daily, the adherence of those.
  13. Provide warning letters to employees for signing, maintain physical and digital records of these, and update relevant departments of associated consequences.
  14. Gather payroll data like bank accounts and working days, attendance, and so on.
  15. Prepare reports and presentations based on metrics like total number of hires by department, employee turnover statistics, and so on.
  16. Use coaching, training and mentoring to strengthen human resource functions, performance, on-boarding, loyalty, service level, and so on, by planning, preparing and developing staff training and on-boarding materials, as well as by organizing and executing professional training seminars, sessions and other means thereof.
  17. Successfully employ personnel from third countries exclusively for the business, after following necessary processes and procedures without detriment to the business and under the strict guidelines of the Management and Executive.
  18. Successfully employ personnel directly from EU countries, without applicants being within the country.
  19. Maintain updated cloud records of all the above in lists, PDFs, and other formats.
  20. Arrange employee contracting issues, terms of employment signing, and so on.
B. Office Administration and Executive Support
 
  1. Provide administrative support to ensure efficient operation of the offices.
  2. Maintain, manage, file and update company records, files, photos, texts, databases and libraries, both digital and physical, in a digital-first mindset.
  3. Work with various computer software and cloud applications, online software and platforms, ranging from gmail, google drive, MS Office and Office 365, to G Suite Apps, Calendar applications, among others.
  4. Define requirements and execute projects alone and in coordination with others, and in many cases control and direct online freelancers to execute scalable tasks and projects.
  5. Oversee legal requirements of the company linked to contracts, insurance & other administrative systems and obtain legal advises on various issues. 
  6. Prepare tenders and administer tender awards and contracts process.
  7. Develop, update in a timely manner and implement general administrative procedures.
  8. Manage office supplies stock, place orders, and manage the smooth operation of the office in general.
  9. Organize and execute a filing system for important and confidential company documents.
  10. Update office policies as needed.
  11. Maintain a company calendar and schedule appointments and meeting as required.
  12. Distribute and store correspondence, such as letters, emails and packages.
  13. Assist with any projects as required.
  14. Arrange seminars and training with the Human Resource Development Authority of Cyprus (HRDA) and other authorities.
  15. Participate, and in some cases lead, the efforts for digital-first cloud centralization of business information systems.
 
All role responsibilities are defined by Management and Executive, in general and in particular, and are always subject to additions, subtractions, updates or alterations in accordance with the business needs.
 
Requirements
 
  1. Executive-oriented and business-defined mindset, perspective and outlook, as well as a sense of business loyalty, duty and integrity, is an absolute must for this role.
  2. Excellent time management skills, ability to multi-task, plan, organise and prioritize work, as well as a learning and positive attitude and outlook combined with a mindset geared for taking initiatives is a must for this role.
  3. Excellent working experience in handling personnel will be considered highly advantageous.
  4. Familiarity with Human Resources Information Systems (HRIS) and HRDA procedures will be considered highly advantageous.
  5. Very good knowledge of labor legislation and all relevant procedures for the employment of EU and NON-EU citizens, as well as working experience of these, will be considered highly advantageous.
  6. Excellent experience in using spreadsheets and in using computer and cloud-based software, office applications, and so on, as based on the description above, will be considered highly advantageous.
  7. Work experience as an Human Resource (HR) Manager, Admin Officer, HR Administrative Assistant, Office Administrator, Personal Assistant, Executive Assistant, Chief Of Staff, or similar role, will be considered highly advantageous.
  8. Proven ability to work under pressure, within tight deadlines and in a fast-paced environment with constantly changing requirements will be considered highly advantageous.
  9. Experience in the Hospitality Industry and/or Real Estate Industry will be considered highly advantageous.

Working Hours, Days, and Salary
 
  1. 08:00 to 17:00.
  2. 6 working days per week.

  5. Role based within the 4* Avlida Hotel on Tombs of the Kings Avenue, Paphos, Cyprus.
